At the earliest, as you complete your manuscript, you should begin thinking about what editions you will be publishing in. Estimated page count, target usage, and type of binding may dictate different maximum page margins for traditionally printed books. Depending on the software options (index, end/foot note, etc.) you use to produce your work separate manuscript files for each edition may be needed. Preliminary work for electronic edition may be done in a word processing application followed by a straight conversion (such as PDF) or export for more work done in a program geared to produce electronic publication manuscripts.

Book Manufacturing Concepts

Using Microsoft Publisher, Adobe InDesign (or other program of this type)? While it is easy to place frames and objects outside of your established margins and even running off the edge of the page (full bleed), remember margins are necessary to produce a page pleasing to the eye and many forms of standard printing do not allow for no margin or bleed printing. Always place all elements, unless previously discussed with your publisher, within your established margins.

Marketing advice

In the 21st century Social Networking is not going away. Where you may have “pressed the flesh” and been active in organizations to network in the past (thus getting the word out on your current and past projects), getting involved in the online community can be great if your marketing is “grass roots” based. Don’t go crazy – it will just result in more stress about learning something new: Learn about your options, join one at a time and monitor a bit before making it a marketing platform. In this way, if the interface or tone doesn’t seem right for you, you won’t gain followers you’ll abandon if you discontinue.

Whether you choose to add electronic material to a traditionally printed book, or produce a fully electronic book, think outside the box on what you may wish to include:

  • Think of the value added to the book for signature collectors to have electronic copies of family correspondence.
  • What will family members who are philatelic (stamp) collectors say about scans of handwritten envelopes with stamps and postmarks?
  • Help set the stage of history by including copies of newspaper and other publication items from the family, geographical area, or culture.

As a reader or researcher how many times have you heard, “The book has been written on that”, only to find there is no access to it? Undertaking an authorized reprint is a way to benefit many, including the original author(s). Today, that book that has already been written, may have only had a handful of books published and none of them in public collections. For volunteer groups, this is also a way to begin working with publications that may not be as difficult or time consuming as producing original work.

A Little About Archival Quality

Internal Factors

The Gregath Publishing Company has a standard paper basis that all quotations and projects are based on unless the customer requests something different.  Our standard fine text paper is a 20/50#, uncoated, white, acid free paper.  This paper meets American National Standards Institute specifications for “Permanence of Paper”.  The paper is manufactured with chemical pulp under alkaline conditions.  Being of a very high benchmark (various ANSI and National Information Standards Organization standards), this paper meets these four basic requirements:

  • pH of 7.5-10 (balanced to archival)

  • A tear resistance of md index>5.25mNm2/6g which corresponds to a minimum of 40 gf.

  • Alkaline reserve: minimum of 2% calcium carbonate equivalent (buffered)

  • Less than 1% lignin (acidic)

This paper also earns “high” to “maximum” life expectancy for “Copies for Office Copying Machines” as established by ASTM International (formerly American Society for Testing and Materials).  This typically applies to xerocopy and digital grades.  While we have yet to find a published expected life span for permanent papers, ASTM suggests in their specification that paper meeting the high classification of this standard may be “usable” for 100 to 1,000 years.  Please note that the ASTM suggestion of usable means it can still be reproduced upon.  A reader can enjoy books printed on paper that is way past this “usable” stage of it’s life.

Include a photograph with any mailings (especially electronic): can be an action shot of the author writing or selling, or a special one from the book. If the book is already published, it could even be a “beauty shot” of the book itself.  Make sure to caption the photograph.  If it is from the book and the promotional material doesn’t address the photograph, the caption can be a bit longer to make sure you tie the photo to the book.

Prepare (and send) press releases to all media (newspaper, radio, TV, etc.) within the area as you are completing work on the manuscript, again when they are being published, and after to cover such events as signing parties, etc.

Retrieving Data on Thermal Paper

I have some old files containing faxes on that old fax [thermal] paper that eventually fades. I heard that there was some type of light that would restore them, but couldn’t find out the name and probably couldn’t have afforded it anyway. I wondered, what is it that restores them — light or heat or a combination of both and possibly with something else.

I turned on a burner on my gas stove and began running the paper, print side down, back and forth over the flame. When I saw a strip of paper turning dark I looked and eureka! I could read almost every word of the print, typed and handwritten. A miracle. I was able to send an adopted person information about his adoption that he had lost long ago.

This has to be done slowly and carefully and the flame shouldn’t be too high because one can get a nasty burn. I placed the restored copies in clear sheets. How long they will be legible, I don’t know. But they’ll last at least until one can transcribe the information from them.

I sent this bit of info to many other researchers. To date none have said they knew about it already. I would be interested to know from your readers if I was just way behind the times on this valuable (to me) secret.
